Central Texas Pastel Society Board Meeting September 28, 2018

I. Call to order Holly Read called the regular board meeting of the Central Texas Pastel Society to order at 1:00 p.m. in the Georgetown Library Conference Room. Those present were: Holly Read, Jan Frazier, Alora Johns, Jane Frederick, Ann Garrard, Sue Kernan, and Sandra Slaughter.

The art class at Frost Elementary sent decorated thank you cards. They very much appreciated the donation made by CTPS to their school.

II. Reports Holly Read suggested that an executive board committee be created for CTPS. It would consist of the president, past president, vice president, treasurer and secretary. Other members would be included depending on the topics covered and member expertise. This full board would meet quarterly and the executive board committee may meet more often with the purpose of vetting topics for the full board to consider and vote upon.

Lynne Mazey has agreed to be membership chairperson to replace Ann Gerrard who is moving to Dallas. We are still in need of an exhibition chair, a workshop chair and a vice president. Sigi Field has indicated she would like to be replaced as publicity chair, therefore, this post is vacant as well. Each officer should have a committee to help carry out their reponsibilities. Board members were encouraged to approach CTPS members to see if they are interested in being part of a committee. It was suggested that each chairperson should have a binder with a detailed job description.

Jan Frazier reported on the search in Georgetown for a new venue site for the annual workshop and exhibition. The Community Center and Georgetown Chamber of Commerce were toured. Membership in the Chamber would provide CTPS with publicity of their events and meetings. The cost of membership is $50 for a partial year and $100 for a full year. Bastrop Art Center is still an option as is the CAC in Temple. Information needs to be secured on the exact price for each venue and dates available and then a decision for the January/February 2020 workshop and show can be made.

Treasurer Alora Johns is currently putting the treasury report into an Excel file. Bar graphs or a pie chart will be available to report the distribution of funds with this program as well as the elimination of excess paper. Alora is currently moving money collected from Pay Pal into the CTPS account. Without the PayPal money, beginning balance was $10,115.69. Expenses totaled $6548.53 leaving a balance on hand of $5361.56.

CTPS member Tom Beasley has asked that his winning gifts from the annual show be used towards our scholarships and donations. Tom’s smaller gifts will be used at the monthly CTPS meetings for fund raising. His $165.00 gift of Terry Ludwig pastels will be used separately for fund raising with tickets purchased at several CTPS meetings. The winner will be awarded at a later date.

Alora will be posting a monthly newsletter on the website. She asks for contributions and ideas from the membership.

The Library art show will be hung on Saturday morning December 1st. There will be just 30 paintings. The reception will be December 7th from 4:00 – 6:00 pm.

The Holiday Party will be a brunch held on December 15th for members only. The place and time have yet to be decided

Respectfully Submitted, Sandra Slaughter, Secretary
